How to Prepare Your Presentation
Instructions for PowerPoint and PDF
- Please save your presentation in PowerPoint 2013 or newer format (.ppt or .pptx) so we can ensure it opens correctly on our computers.
- We recommend saving your presentation in PPTX format. Please also prepare your presentation in 16:9 format, as the screens in the lecture rooms use this ratio.
- The presentation can be prepared and saved as a PDF, but PowerPoint format (PPT or PPTX) is always recommended.
- If you are using an Apple computer to prepare your presentation, please come to the Speaker Preview Room at least 2 hours before your lecture to check and test your presentation.
- If you plan to give your presentation using your own laptop, please inform the staff in the Speaker Preview Room.
Images/Videos
- JPG is the most commonly used format for inserting images into presentations.
- GIF, TIF, and BMP formats are also acceptable.
- A resolution of up to 250 dpi is sufficient for high-quality image display during the presentation. Higher resolutions only increase the file size without improving on-screen quality. Please compress images in your presentation to the recommended resolution.
- If your presentation includes video, please arrive well in advance at the Speaker Preview Room so we can test whether the video is properly embedded. Also, save the video separately on a USB flash drive and bring it with you, just in case.
- The recommended video format is MP4.
Fonts
- Only fonts that are part of the basic installation of MS Windows (Czech version) will be available. Using other fonts may cause your presentation’s style to display incorrectly.
- Recommended fonts: Arial, Times New Roman, Tahoma, Calibri
- If you insist on using special fonts, you must embed them in your presentation. To do this, follow these steps:
- Click “Tools” → then “Options” → then “Save” → and check the box “Embed TrueType fonts”, then save your presentation.

- Using your own laptop is only allowed in exceptional cases and must be discussed with the technician in advance. If you will be presenting from an Apple computer, please always inform us ahead of time.
- Once the congress is over, all presentations will be deleted from our computers.
- We kindly ask all speakers to strictly adhere to their presentation time.
